Connect Hotelia to PriceLabs once, and your nightly prices and minimum stays update automatically while your bookings and availability flow back to PriceLabs within a minute.
What it does
PriceLabs suggests the best price for every night, based on demand in your market. Hotelia puts those prices on your booking widget for you.
Direction | What moves | How fast |
Hotelia to PriceLabs | Your room types, units, bookings, cancellations, blocks and current rates | Within a minute of any change |
PriceLabs to Hotelia | Nightly prices and minimum stays | Within a few seconds of each sync |
Each room type is one listing in PriceLabs. If you have 2 King rooms, PriceLabs sees one "King" listing with 2 units and prices them together.
You stay in control. A price you set yourself for a specific night in Hotelia always wins over the PriceLabs price.
You pay PriceLabs directly. Hotelia never charges commission, and the integration is included in your plan to connect with.
Before you start
You'll need about 10 minutes and the following:
A PriceLabs account (sign up at pricelabs.co if you don't have one)
Owner or admin access in Hotelia
Your hotel's time zone saved in Hotelia Settings
A rate on every room type
Bedrooms set on each unit (recommended, so PriceLabs compares you with similar properties)
Your hotel address in Hotelia Settings, so we can find your location
Connect
Part 1: in PriceLabs
Sign in to PriceLabs and open Add/Re-import Listings.
Choose PMS / Channel Manager, then select Hotelia.
Tick Allow Hotelia to add listings to your PriceLabs account, then press Save.
Part 2: in Hotelia
Go to Settings, then Integrations, and open the PriceLabs tile.
Enter the email you use for PriceLabs.
Press Look up from address. Check the city, country and coordinates are right. If the lookup can't find you, change the search text (this doesn't change your saved hotel address), or paste your coordinates from a map.
Check the green OK lines: time zone saved, every room type has a rate.
Press Connect.
Connect runs four steps: saving your details, sending your room types as listings, sending two years of rates and availability, and sending your reservation history. Each step turns green when done. If one fails, Connect stops and tells you which step and why. You can safely press Connect again.
When it finishes, the tile shows Connected and your listings appear in PriceLabs within a few minutes.
Turn on syncing and check your first prices
PriceLabs only sends prices to Hotelia for listings with sync turned on. Each listing has its own switch.
In PriceLabs, open each Hotelia listing and finish its setup: base, minimum and maximum price.
Turn on Enable Price Sync for each listing.
Press Sync Now.
Wait a couple of minutes, then open Unit Management in Hotelia. Pick a few dates and check the prices match PriceLabs.
If only some room types show PriceLabs prices, sync is probably still off for the others. Room types without PriceLabs prices use your own Hotelia rates.
After this, PriceLabs syncs automatically once a day, and whenever you press Sync Now.
Day to day
Once connected, you don't need to do anything. Work in Hotelia as usual and everything flows on its own.
You do this in Hotelia | PriceLabs gets |
Take or change a booking | The reservation and updated availability, within a minute |
Cancel a booking | The cancellation, and the nights open up again |
Block a unit (maintenance, owner use) | The block, and one fewer unit available |
Set your own price for a night | Your price, which wins over PriceLabs for that night |
Add a unit, change bedrooms or take a room out of service | The updated listing |
Where to see PriceLabs prices in Hotelia
Unit Management calendar: the nightly price on each unit. Refresh the page to see a new sync.
Booking widget: guests see and pay the PriceLabs price right away.
Minimum stays set in PriceLabs are enforced in your booking widget. Staff see them when creating a reservation. To remove one, remove it in PriceLabs and press Sync Now.
Changing prices: make pricing changes in PriceLabs, then press Sync Now. Set a price in Hotelia only when you want to override PriceLabs for a specific night.
What to look for
Open the PriceLabs tile in Settings, Integrations and press Refresh to see your status panel.
Line | Healthy | Look into it when |
Connected since | A date | It says off and you didn't disconnect |
Last sync from PriceLabs | Within the last day | It's older than 2 days: check sync is on in PriceLabs and press Sync Now |
Last send to PriceLabs | Recent, after your latest booking change | It hasn't moved after new bookings |
Queued / Sending | Usually 0 | It stays above 0 for more than a few minutes |
Failed | 0 | Any number above 0: read the error, then press Retry failed |
Stuck | Not shown | A send shows as stuck: press Refresh, then contact Hotelia support if it stays |
Last error | none | It shows a recent error |
Listings | Each room type, available | A room type is missing or unavailable |
A quick weekly check: pick 3 dates in Unit Management and compare them with PriceLabs. If they match and Failed is 0, everything is working.
Troubleshooting
You see | What it means | What to do |
"PriceLabs hasn't allowed Hotelia to add listings to this account yet" | Part 1 of Connect wasn't done for this PriceLabs email | Do Part 1 in PriceLabs with the same email, then press Connect again |
Connect is greyed out | A check above it isn't OK | Save your time zone or add a rate to each room type |
Address lookup finds nothing | The search text isn't specific enough | Add city and state to the search text, or paste coordinates from a map |
"PriceLabs is busy, try again in N seconds" | PriceLabs asked us to slow down | Wait that long and press the button again |
Prices in Hotelia don't match PriceLabs | Sync is off for that listing, or PriceLabs changed prices since the last sync | Check Enable Price Sync is on, press Sync Now, then refresh Unit Management |
A minimum stay won't go away | It's still set in PriceLabs | Remove it in PriceLabs, including weekend or default rules, then Sync Now |
A room type is missing in PriceLabs | It has no units in service | Put at least one unit in service; the listing is sent automatically |
Failed sends | PriceLabs couldn't be reached or refused a send | Read the error, press Retry failed, and contact Hotelia support if it fails again |
For anything else, contact Hotelia support with your hotel name and a screenshot of the status panel.
Disconnect
Stop pricing for one room type: in PriceLabs, turn off Enable Price Sync for that listing. Your other room types keep syncing. Note that the last PriceLabs prices for that room type stay in Hotelia until you change them, so set your own rates for it afterwards.
Disconnect PriceLabs completely:
In Hotelia, open Settings, Integrations, then the PriceLabs tile.
Press Disconnect and read the confirmation.
Confirm.
What happens:
Your listings are marked unavailable in PriceLabs.
Hotelia stops sending updates.
PriceLabs prices and minimum stays from today onward are removed, so your own Hotelia rates apply right away.
Past records and any prices you set yourself are kept.
If PriceLabs can't be reached (for example, you closed your PriceLabs account), you'll see Disconnect anyway, which turns everything off on the Hotelia side.
Reconnecting later: press Connect again. Your listings come back with the same IDs, so PriceLabs keeps their history. Then turn sync on and press Sync Now.
