A guide to what's on your dashboard, what it does automatically.

Overview: what you see when you log in

The Overview page shows four live cards at the top. All four are calculated automatically from your reservations and rooms; there's nothing to enter by hand.
• Check-ins today: the count of today's confirmed or pending arrivals.
• Check-outs today: the count of today's departures for guests currently checked in. • Occupancy: your occupied rooms divided by total rooms, as of today.
• Daily revenue: revenue from today's arrivals, shown with a note of how many arrivals it's based on. This reflects revenue tied to guests arriving today, not every booking created today.

Analytics: understanding your numbers

The Analytics tab lets you pick a date range (7, 30 days, or a custom range) and calculates the following automatically:
• Total revenue for the selected range.
• ADR (Average Daily Rate): today's daily revenue divided by occupied rooms.
• RevPAR: calculated daily and averaged across your selected range.
• A monthly revenue projection, extrapolated from your daily average.
• Revenue efficiency: your projection compared to your potential, useful for spotting how much room there is to grow.
• Revenue broken down by room type.
• Average length of stay, in nights.
• Add-on revenue, tracked separately from room revenue.

Forecast and revenue optimization

The Forecast tab shows a 7-day occupancy forecast. This is a straightforward projection built from your existing reservations and room inventory, counting the nights already on the books ahead of you. It tells you what's already scheduled.

The Revenue Optimization tab surfaces rate adjustment suggestions and revenue targets based on your own booking patterns.

Reservations and guest recognition

You can create a reservation manually, or describe it in plain language to the AI booking assistant.

  • For example, "Book Jane Smith into the Cedar Suite this Friday for two nights, add breakfast, and it will build, price, and confirm it.

  • Returning guests are recognized automatically. When a guest's email is entered on a booking, Hotelia checks your property's booking history for that email and, if they've stayed with you before, pulls up their phone number, address, ID info, previous room, and past add-ons so you don't have to ask again or dig through old records.

  • A VIP badge appears once a guest crosses your property's returning guest threshold. Nothing needs to be tagged by hand.

  • You can also add freeform notes to a guest profile. Notes are separate from VIP status and are there for anything you want your team to remember that isn't captured automatically.

Guest requests: A board for anything a guest asks for during their stay

Housekeeping needs, maintenance issues, room service, amenities, noise, checkout requests, special requests, or anything else.
• Each request has a priority, low, medium, high, or urgent. Urgent requests are visually flagged so they don't get missed.
• Requests move from pending, to assigned, to in progress, to completed. Once completed, it's logged with notes and how long it took.
• Your team logs requests on a guest's behalf and can link a request to their active booking, which fills in the guest's name and room automatically.
• Requests are assigned automatically based on category; housekeeping requests go to housekeeping staff, maintenance requests go to maintenance staff. Owners can assign a request to themselves too.
• Owners, admins, and managers see every request. Housekeeping sees housekeeping requests plus anything assigned to them. Maintenance sees maintenance requests plus anything assigned to them.
Front desk sees everything except housekeeping and maintenance requests.

Guest arrival and check-in

Guests can complete self check-in ahead of arrival through a secure link, including ID verification. Add-ons can be included at the time of booking or added during check-in.

Using the dashboard on your phone

Day to day front desk work, reservations, check-ins, and tasks, is built to be used comfortably on a phone or tablet at the front desk. Analytics and reporting are easier to read on a bigger screen, they'll work on a phone, but you'll get more out of them on a tablet or desktop.

Task log

A full audit trail across housekeeping, maintenance, and guest requests, who did what, when, and how long it took. Useful any time you need to look back at what happened.
