Connecting Hotelia to Zapier

You can connect Hotelia.io to over 6,000 other apps using Zapier. This allows you to automate repetitive tasks, like sending a Slack message when a new booking arrives or logging check-outs in a spreadsheet without needing to write any code.


How to Set Up the Connection

Setting up the link takes just a few minutes using a secure API key.

  1. Generate Your Key

    • In Hotelia, go to Settings, then Integrations, and select Zapier.

    • Click Generate New API Key. Give it a name like "Zapier Production" so you remember what it is for.

    • Copy the key immediately. For your security, the system only shows this code once.

  2. Connect in Zapier

    • Log into your Zapier account and search for the Hotelia app.

    • Choose Connect a new account and paste your API key into the pop-up window.

  3. Build Your First Zap

    • Pick a Trigger (something that happens in Hotelia) and an Action (something that happens in another app).

    • Use the Test Trigger button to see sample data, which helps you match the right information to the right fields.


What Can Trigger an Automation?

Whenever these events happen in Hotelia, the information can be sent to your other apps:

  • New Booking: Fires as soon as a reservation is made.

  • Check-In: Fires when a guest’s status changes to "Checked In."

  • Check-Out: Fires when a guest officially checks out.

  • Add-On Purchased: Fires whenever a guest buys an extra service or item.


Sending Data into Hotelia

You can also use Zapier to bring information from other sources into your Hotelia dashboard. The Create Booking action allows you to automatically pull reservations from Airbnb, VRBO, or even a simple Google Form and turn them into official bookings in your Hotelia calendar.


Managing Your Zapier Integration

You can monitor and manage all your active automations directly from the Integrations page in Hotelia.

  • Active Subscriptions: This table shows every "Zap" currently linked to your hotel.

  • Automatic Protection: If an automation fails repeatedly (for example, if the other app is down), Hotelia will temporarily disable it to prevent errors. You can turn it back on with a single click once the issue is resolved.

  • Security: You can revoke an API key at any time. If you delete a key from your dashboard, any Zaps using it will stop working immediately.
